WHAT IS A VIRTUAL ASSISTANT?
A Virtual Assistant (VA) can be an essential part of your business and life - tackling tasks for you so that you can focus on what's most important - your business, clients and family. VA services and prices vary, but Virtually Anything Assistants are anything but "average". Sure, you can hire a $9/hr email checker and image poster, or you can work with other entrepreneurs who are on a mission to make all of our lives more successful. We are smart, friendly and passionate about the "little" details that truly make a business run.  


WHO CAN BENEFIT FROM A VA?
Anyone! If you ever feel that you don't have enough hours in the day, you likely could use some help. Whether that means fully taking over emails/scheduling, or just researching and purchasing your furniture for your new house while you handle your business - or anything in between - we'll handle what you don't have time for.


WHERE DO YOU WORK FROM?
We work from our home offices throughout the US. 

WHY SHOULD I CHOOSE YOU?

There are a lot of VA's out there. We don't work as a VA as "just another job". This is our career and we take client happiness very seriously. We care, we have passion for what we do and most of all, we LOVE helping businesses to succeed or to free up time in a busy professionals life. Working with us, you know exactly what you are getting: a professional, someone who cares as much about your business as you do and someone who not only wants to help you, but wants to be your right-hand and an indispensable part of your business.

We have worked with many personalities and different types of people. We are flexible and can mimic your style or be a leader and suggest ways that we can help. We are trustworthy, honest and customer service oriented. We don't work on a scope of service that you generally get with larger VA companies or even some independent contractors. If you need something after hours, or if you have an off-the-wall request, we will always do our best to get it done.

We also believe in going above and beyond. Because of that, we have added onto our rockstar team to include services outside of your general VA work, such as graphic design, copywriting, video editing and photo editing. The more we can do for you in house, the easier your life becomes, and if we can't do something, we will hire someone who can to continue to simplify your life.

CAN I CHOOSE THE VA I WANT TO WORK WITH?

You can request a specific VA, yes. However, based on their availability, we may or may not be able to accept that request. Please be advised that our entire team is incredible skilled and we all communicate daily. Even if you don't get the VA you asked for, we ensure that you will have incredible support from one of our team members. We also may be able to split time between two people if you wish.

CAN I SWITCH MY VA TO SOMEONE ELSE?

Sure! If you are having any issues at all with your current VA, we would love to hear about it. Even if it's just that your personalities don't mesh well (hey, we get it), we are happy to change your support to someone else. Just reach out.

WILL MY HOURS ROLL OVER IF I DON'T USE THEM?

Yes! But, in month one only. The first month of working together can always be a surprise where you see that more help is needed or that you didn't need as much time as originally planned. Because of that, we are happy to roll over any unused hours from your first month and prorate your second invoice as needed. Once you are on your second month, you are expected to use your time within a 30 day period. You can always lower or upgrade your plan as needed.

HOW DO YOU TRACK MY TIME?
We use the Harvest App for time tracking. When we begin working together, your VA will create a project for you and the plan you chose. When we begin a task, we will log into your project and start the time clock, and when we're done, we will turn it off. It's that simple. We can also send you weekly and monthly updates of time used/available.


HOW DO YOU TRACK MY TASKS?
We track all of our tasks in Asana with a due date and notes. We're happy to add you to your Asana board so that you can see in real-time where we are with projects/tasks. Once we receive a task, your VA will add it to their list and prioritize it with their daily to-do list. Time sensitive tasks always come first - travel booking, scheduling, billing and tasks marked urgent. Remaining tasks will be prioritized by your plans turnaround time and we will always let you know when something will be completed. In the event that we need more time to complete something, we will quickly discuss how you want to prioritize your tasks. **If you have a project manager that you love, yes we can use that instead of Asana.


WHEN DO YOU WORK?
We generally work Monday - Friday 9 am - 5:30 pm Eastern Time. We can also work Pacific/Mountain/Central time, or evenings and weekends, as long as it is agreed upon in advance. Just let us know what you need, we can be flexible. 


We do not work on the following US holidays: 
New Years Eve
New Years Day
Memorial Day
Independence Day
Labor Day
Thanksgiving Day
Christmas Eve
Christmas Day

Please note that we do not work overnights, so we cannot accommodate time zones outside of regular US business hours.


WHAT HAPPENS WHEN MY VA IS OFF, SICK, OR ON VACATION?
Your VA will always let you know that they will be away beforehand and then you have the option of sending tasks over to be completed upon their return or using a support VA. We have a network of professional VA's that we trust and that can handle tasks while your VA is away, upon your approval and at no extra cost to you.


HOW CAN I CONTACT MY VA?
You will receive all of your assistant's contact information upon sign up. We prefer you to reach out via email or text in case we are in the middle of a task or are in a meeting, but please feel free to call or text if needed. For regular weekly check ins, please schedule that time with your VA directly and you will be sent a recurring event invite so it's on your calendar. 

 

DO YOUR ASSISTANTS WORK TOGETHER?

As a Virtually Anything client, you will be assigned to one main assistant. For the "large" projects - email handling, scheduling, client outreach, etc., your dedicated assistant will work solely on those projects and will personally keep you updated on their progress. For smaller projects, we may delegate to each other depending on our schedules. 

 

Your main VA will always send you your work directly, communicate with you and respond to you no matter who completes a task. If we need to share information, we do so securely through LastPass and the confidentiality agreement in our contract covers any VA on the team. 


HOW DO YOU PROTECT MY INFORMATION?
We use LastPass to store all personal information, including passwords, credit cards, addresses, birthdays, family information and even frequent flier information. Our accounts are password protected, so even if a laptop was lost, your information would be secure. We also password protect our laptops, phones and tablets for double security.


HOW CAN I PROCESS A REFUND?
No refunds will be processed at any time, but you can use the remaining hours in your plan and then cancel for the following month.


HOW DO I CANCEL MY PLAN?

If you don't want to move on to another month, please let your VA know at least one week before your plan is up and the last day of your current plan will be our last day of work. 


WHAT TYPES OF PAYMENT DO YOU ACCEPT AND HOW DOES PAYMENT WORK?
You will be invoiced via PayPal. You can pay with your PayPal account, or with your debit or credit card: Visa, Mastercard, Discover, and American Express are accepted. If you need to pay via ACH or Wire Transfer, please email Melanie directly to discuss. Invoices are due upon receipt and are billed at the same time each month unless another agreement is made on a case-by-case basis. Invoices that are 15 days past due will incur a 10% late fee charge, along with a 15% late fee added after 30 days.


WHAT PLAN SHOULD I CHOOSE?
When considering your plan, first consider the types of tasks that you will want to delegate. Email handling, scheduling and large research or data entry tasks tend to take up the most time. Also, consider how many hours per WEEK you will need help. If you plan on just delegating a few things here and there, you likely don't need a huge plan, but if you want someone in your email or working on tasks daily, you will want a plan that has at enough hours to cover working Monday - Friday.  If you're not sure, let's connect to go over your tasks and help you decide!

WHY ARE CREATIVE ADD ONS NOT INCLUDED IN YOUR PLANS?

When creating plans for VA work, we just need to decide how many hours we will use per month. However, because creative add ons can vary so much based on various needs, the price can completely range and is hard to set a one-size-fits-all plan for. Because of that, we choose to custom price creative add ons opposed to creating set packages for them. If you need graphic design, photo editing or video editing services, just contact us and we'll send you a nice PDF of our pricing after learning more about your project. You can use our creative services by combining them with a VA package, or just using the service you need by itself.
